District Insurance and Event Notification
The AON V3 Rotary Club and DIO Handbook 2026 is Rotary’s essential guide to insurance, risk management, and youth protection. It outlines the responsibilities of clubs and District leaders to ensure that all Rotary activities are safe, compliant, and properly covered.
Every Rotary Club must nominate at least one person to read and understand this handbook and its appendices. That person will act as your club’s “risk compass” – helping guide your projects and events so they are delivered safely, responsibly, and in line with Rotary’s insurance requirements.
To help you get started, here are the key actions every club must take:
· Complete and submit the Project & Event Notification Form (F13) and Risk Assessment Form (F14) to your District Insurance Officer (DIO) before any event or project begins.
· Use the General Release and Indemnity Form (F2) for any sport, race, or physical activity involving non-Rotarians.
· Ensure all vendors and stallholders at club-run markets or events have their own insurance. No insurance = no participation.
· If using Rotary Travel Insurance, obtain a “Fit to Travel” letter from your GP before departure.
· Do not offer Rotary insurance coverage to other organisations or groups – this is strictly prohibited.
· All Youth Program Volunteers must complete the Youth Volunteer Information & Declaration Form (F8) and undergo screening, including reference checks (F9).
· Complete and return your club’s Annual Insurance & Compliance Declaration by the due date provided by your DIO.
· Any contracts or agreements with councils, government bodies, or private venues must be reviewed by your DIO before signing.
